Position Title: Assistant to the Volunteer Program Coordinator
Type: Volunteer
Location: Dakar, Senegal
Description:
The Assistant to the Volunteer Coordinator has the important job of assisting Volunteer Program Coordinator in managing, coordinating, and supporting Tostan volunteers while recruiting for the Tostan Africa Volunteer Program.

Start Date: June 2012
Minimum commitment: one year
Hours per week:  40 hours/week, but must also be flexible to work/travel on weekends depending on projects
Location: Dakar, Senegal with travels to other regions in Senegal and other Countries in Africa where Tostan and volunteers are present
Direct supervisor(s): Volunteer Program Coordinator              
Collaborator(s): Associate Director of US Operations, Regional Volunteers, International office staff, Volunteer/ Internship Program Assistant


 Responsibilities
  • Collaborate with the Volunteer Program Coordinator in the creation of new support documents for volunteer professional development, new volunteer orientation, staff trainings, and other capacity-building activities;
  • Update existing volunteer support documents (Policy and Procedure manual, orientation packet, pre-arrival packets and procedures, etc.) as needed;
  • Keep track of current and past volunteer candidates applications;
  • Exchange daily email with the International and regional staff;
  • Work with Tostan staff to maintain an up-to-date system of volunteer needs;
  • Provide volunteers with an orientation to Tostan and life in Senegal
  • Prepare volunteers for arrival;
  • Recruit qualified volunteers to fill open positions;
  • Provide support for volunteers (professional, cultural, material, emotional, etc.) throughout their time in all African countries where Tostan is present.
  • Evaluate, support, and oversee volunteers and their progress;
  • Fulfill various administrative support duties,
  • Help to facilitate volunteer integration;
  • Translate documents and manage in person translations when needed (French to English, English to French, other languages according to Assistant’s  language skills);
  • Update the Volunteer Program page on organization’s Intranet;
  • Plan for volunteer field visits;
  • Attend coordination meetings, office meetings, international meetings, etc. in order to best understand current projects and meet the organization’s needs by performing regular needs assessments of current volunteer positions available, effective volunteer placement;  and new positions to create
  • Keep an ongoing communication line with the respective position intern at the Tostan Us office;
  • Assist the Volunteer Program Coordinator in assessing material and logistical needs for volunteer’s professional missions and Tostan-provided living conditions;
  • Facilitate the exchange of information and knowledge between the International office in Dakar and the US office in Washington, DC in order to ease the collaboration between the two offices to ensure an active and effective recruitment and follow-up with volunteer candidates
  • Collect bi-weekly service summary from volunteers

Qualifications
  • Bachelors degree or current enrollment in Bachelors program; studies in International Development, Education, Gender Studies, another social sciences, Business, Management, or related field;
  • Experience working with a non-governmental organization / non-profit OR prolonged experience in a developing country;
  • Thorough understanding of Tostan’s programs and methodologies;
  • Written and spoken proficiency in English ;
  • Written and spoken intermediate high or advanced level in French (i.e. 3 years of college level French or in-country equivalent);
  • Wolof or any other African language relevant to Tostan’s work is an advantage
  • Capable of working with external stakeholders on planning and program implementation;
  • Strong computer skills in Microsoft Office Suite, including Word, Excel, and PowerPoint; experience with Access or other database software preferred;
  • Knowledge of Gmail, Google Groups, Google Documents, Google Calendars, Google Sites, and other Internet programs preferred;
  • Project management experience preferred;
  • Ability to be persistent and diplomatic, and to establish mutual respect among Tostan volunteers and employees, project partners, and local community members;
  • Ability to define and meet organizational needs with minimum supervision or oversight, and to manage multiple tasks at once;
  • Strong communication and organizational skills;
  • Flexible to adapt to a multicultural environment, to work in varied conditions, to be considerate of limited resources, and to adapt work priorities to the immediate needs of the project or donor;
  • Ability to travel independently.
  • Good public speaking skills
