Every year, Africans who participate in Tostan’s Community Empowerment Program (CEP) catalyze social transformation and spearhead grassroots development efforts in their communities. The Operations Assistant has the important job of helping Tostan to connect invaluable interns with appropriate opportunities and project work. The Operations Assistant will assist the Senior Operations Manager to streamline office processes, including the Internship Program application process, outreach, recruiting, and external and internal issues related to Tostan’s internship program. Additionally, the Operations Assistant will serve as a resource for the Senior Operations Manager and will take on any other HR or Operations projects as deemed necessary.
Start Date: January/February 2012
Minimum commitment: 10 weeks
Location: Washington, DC
Hours per week: Full-time (35 hours/week)

Collaborator(s): Director of External Relations, Africa Volunteer Program Coordinator, Assistant to the Africa Volunteer Program Coordinator, other interns, etc.

GENERAL OPERATIONS

Assist the Senior Operations Manager with daily office management and upkeep

Manage the Operations section of the DC Internship Program site

Assist with mail processing

Assist with procurement and purchasing

Edit intern position descriptions in multiple online locations

Various administrative tasks

INTERNSHIP PROGRAM

Outreach, Recruiting, and Program Growth:
-
Assist with the creation of internship program materials, program brochures, website updates, etc.

Conduct research in support of Tostan’s Internship Program, including outreach, recruiting opportunities, and professional development opportunities for Tostan staff and interns in the DC area

Assist in developing partnerships with universities and colleges in the DC area and elsewhere

Research funding opportunities for Tostan's Volunteer and Internship Programs

Manage the internship application process:

Day-to-day program management:
-
Assist the Senior Operations Manager during the orientation week by preparing supporting folders, and other documents, and by providing training and support to new interns

Manage online resources for the Internship Program
Please note: Beyond the responsibilities outlined above, the Senior Operations Manager will work closely with the individual in this role to identify personal career and academic goals and projects within the DC office that will help the individual build the skills necessary to achieve those goals. For this reason, while the list above does outline the responsibilities of the individual in this position, there are still opportunities for the individual to gain experience in development/fundraising and communications.
QUALIFICATIONS AND NECESSARY SKILLS

Thorough understanding of Tostan’s programs and methodologies

Bachelors degree or current enrollment in Bachelors program; studies in International Development,
Education, Gender Studies, other social science, Communications, Business, Management, Finance, or related field

Strong computer skills in Microsoft Office Suite (required)

Ability to work independently, to self-motivate, and to manage multiple tasks at once

Flexibility adapting to a multicultural environment, to be considerate of limited resources, and to adapt work priorities to the immediate needs of supervisor, Tostan, or project partners

Must be willing to provide administrative support when necessary

Strong communication skills, including written and spoken proficiency in English (required) and French (preferred)

Previous experience with either a nongovernmental or nonprofit organization or experience in Africa/non-western country (preferred)

Project management experience (preferred)

Knowledge of Gmail, Google Groups, Google Documents, Google Calendars, and other Internet programs (preferred)
